Langan is seeking an Administrative Assistant to join its collaborative team in Bethlehem, PA. This individual will serve a key function in providing administrative support, including preparing proposals, marketing material, reports, correspondence, travel schedules, and various documents of a technical and confidential nature. Candidate must be comfortable with being pro-active to accomplish tasks and get questions answered. In this role, you will have the opportunity to provide support to senior management of a rapidly growing group.

 

Job Responsibilities:

 

  • Compose, type, format, download, and edit plans, specs, reports, proposals, memorandums, and correspondence;
  • Data compilation and table formatting; assistance with QA/QC of reports and tables;
  • Establish, update, and maintain corporate contact lists, Outlook contacts, files, databases, records, and other documents;
  • Maintain individual, project, and/or group calendar and assist Principals, Associates, Project Managers, and Staff in staying updated on daily priorities as assigned;
  • Answer phones and manage email;
  • Schedule and coordinate meetings, events, interviews, annual performance review meetings, and appointments;
  • Arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings, and attend events when requested;
  • Coordination with outside vendors;
  • Assistance with billing and invoicing;
  • Act as back-up for reception and office services to provide coverage when needed; and
  • Perform other duties as requested.

 

Qualifications:

 

  • Minimum 5 years Administrative Assistant experience;
    Proficiency in typing, formatting, and preparing proposals, reports, correspondence, presentations, and various documents of a technical and confidential nature;
  • Sound judgment capability and discretion with confidential information;
  • Possess exceptional organization skills with the ability to prioritize, multi-task, and be resourceful to get the job done;
  • Ability to work independently to complete required work tasks;
  • Provide outstanding work product quality and attention to detail;
  • Strong interpersonal skills and positive demeanor;
  • Professional oral and written communication skills;
  • Ability to proactively organize, prioritize, and multi-task effectively in a fast-paced environment;
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and Internet research;
  • Experience in the AEC or consulting industry a plus; and
  • Ability to work overtime when required.
