Langan is seeking an Administrative Assistant to join its collaborative team in Denver, CO. This individual will serve a key function in providing administrative support to the entire office. In this role, you will have the opportunity to provide support to staff and leadership in a rapidly growing office.

 

Job Responsibilities:

 

  • Assist Principals, Associates, Project Managers and Staff Engineers with ongoing projects; Coordinate with Project Managers to ensure that submission schedules and deadlines are met;
  • Provides receptionist and clerical support including receptionist duties, photocopying, mailing services, filing, and scanning and faxing;
  • Assist with marketing and proposal materials as well as provide marketing administration support;
  • Ensures office personnel are adequately supported and receive prompt, courteous and effective assistance as needed;
  • Acts as a liaison between office and building management conveying requests such as: lighting, air conditioning and heating effectiveness; and other office related functions as needed;
  • Ensures the cleanliness of the office. Liaison to cleaning services from building management;
  • Schedules contractor for office work (i.e. carpentry and painting) as needed and coordinates the plant service for the office;
  • Assists with office expenses cost effective and within budget;
  • Handles FedEx and other mailings; tracks and cancels shipments as needed;
  • Coordinates the off-site storage of field equipment and renews rent each year;
  • Coordinates the maintenance and upgrades of office equipment such as copiers, printers, fax machine, postage meter, vending and coffee machines; etc. Troubleshoot problems and coordinate with vendors as needed;
  • Orders food for the office and meetings as needed;
  • Maintains camera log and distributes cameras for use at job sites;
  • Handles the office corporate calendar. Schedules and coordinates the holiday party, various staff meetings and lunchtime or evening seminars; prepares meeting and event spaces; purchases and orders food, beverages and supplies as needed;
  • Acts as liaison with corporate accounting, Human Resources and IT;
  • Orders flowers for employees for occasions such as births and funerals;
  • Coordinates security coverage with corporate and building management; and
  • Performs other duties as requested.

 

Qualifications:

 

  • 5 years of relevant office administration experience required;
  • Superior interpersonal and customer service skills;
  • Excellent written and verbal communication skills;
  • Strong attention to detail with excellent analytical, multitasking, and judgment capabilities;
  • Ability to effectively work independently and in a team environment; and
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook.
